Purchasing and Sales Administrator (Wine Jobs: Sales & Marketing)

This Purchasing and Sales Administrator role requires experience and knowhow in purchase & sales administration as well as logistics of wine, but also requires active coordination and administration relating to various other parts of the organisation including but not limited to marketing, warehousing, and local dispatch. The candidate should have an understanding of wine, to properly fulfil his/her responsibilities. The candidate should be well versed in data analysis and manipulation, through Microsoft Excel and/or other similar tools. Interaction with the various parts of our organisation and understanding of the business demand will be important to ensure a successful outcome for this role.

RESPONSIBILITIES

The applicant shall be responsible for:

  1. Maintain relationships with all wine suppliers globally and in Hong Kong.
  2. Work closely with in-house logistics team, global third-party logistics providers, and freight forwarders.
  3. Liaise with international third-party storage providers and ensure that monthly stock reconciliations are completed and accurate.
  4. Review sales depletion and inventory; build a strong understanding of inventory flows, logistical arrangements, and replenishment needs, to be able to improve replenishment processes.
  5. Analyse current inventory status and client needs, ensuring that stocks are not held for a prolonged period.
  6. Maintain adequate stocks to meet sales demand and ensure that stock replenishment is organised in a timely manner.
  7. Ensure up to date pricing for all items.
  8. Support the marketing department with respect to promotional and event stocks.
  9. Scout new brand opportunities and be on the lookout for interesting opportunities for the sales team and to meet market demand.
  10. Ensure accurate item creation.
  11. Problem-solve issues related to purchasing and global logistics; handle ad-hoc projects assigned from time to time.
  12. Support the sales team with order processing.
  13. Communicate and cooperate with all areas of the business, including but not limited to, the sales, marketing, local logistics, and the finance department.

REQUIREMENTS

  • Experienced use of Microsoft Office and more specifically Excel and other Database software.
  • Experience and knowledge in Wine – preferably WSET II or better.
  • Previous experience with purchasing and logistics is preferred.
  • Rational thinker and problem solving, with significant abilities in data analysis, logical thinking, and multi-tasking.
  • Fluency in Cantonese and good command of English; having basic knowledge of French would be helpful.

  • An ability to communicate clearly both verbally and in writing with colleagues and business partners.
  • A long-term mindset.
