Our Company’s growth has extended throughout Asia and due to an internal promotion, an exciting opportunity exists for an experienced Office Administrative Assistant.  Working as part of a small team and reporting to the General Manager – Asia, your key responsibility will be fulfilling the position of Personal Assistant along with providing administrative and office support activities for the Asia team.

Key responsibilities will include but are not limited to:

  • Effectively managing the daily operations of the office including data management and filing;
  • Managing calendars; event arrangements; preparing reports & market data;
  • Receiving and directing visitors, word processing, creating spreadsheets and presentations;
  • Supporting the sales team with any logistic documents required by our customers, if any;
  • Tracking office supply inventory and approving supply orders;
  • Serving as the go-to for office inquiries;
  • Arranging flight and accommodation bookings;
  • Promptly and appropriately attending to all incoming phone calls, emails and mail;
  • Organising all meetings as necessary and accurately taking meeting minutes;
  • Conducting background research and presenting findings;
  • Coding orders for the team for all markets;
  • Keep track on Trademarks and goods compliance;
  • Order processing support and status follow-up, including PO compliance check;
  • Sample requests – forwarding through sample requests and following up on progress;
  • Preparing stock reports to be updated and delivered to team;
  • Managing production requests and reworks, ensuring no Out Of Stock;
  • Updating and managing Asia stock levels;
  • Order processing support; and
  • Effectively managing the day-to-day operations of Asian and Chinese customers.

Your strong communication skills with the ability to speak fluent Mandarin and English will be essential and see you succeed in this role.  Additionally, your strong organisation and follow-up capabilities coupled with your sound attention to detail and problem-solving skills will be critical and add further to your success.

A minimum of 2-3 years’ PA/general administration experience is required.  Experience within or knowledge of the wine, liquor or suitable FMCG industry would be a plus.  Intermediate MS Office skills in applications such as Word, Excel and PowerPoint is mandatory.  Exposure in using internal sales and marketing reporting systems, i.e. COGNOS, would be ideal.
